Intranet Strategy and Launch

How do you transform an organization’s intranet from a document graveyard into a vibrant place to connect? This was the challenge that international healthcare company Sysmex Europe were facing when they called us. As a company with offices throughout Europe and the Middle East with a vast amount of experience and expertise between their employees, finding ways for people to be able to share knowledge and learn from each other - no matter where they are - is crucial. We worked alongside them to create and launch a new intranet which would deliver on their vision of OneSysmex, harnessing the ideas and enthusiasm of the people for whom it was being built: their employees. 1. THE ISSUE

They needed: 

  • An intranet that people would USE. Easy to update and maintain content, with an attractive and intuitive interface and powerful search functionality. 

  • A clear channel strategy to ensure only up to date and relevant information found its way onto the intranet. 

  • A concrete strategy to encourage and increase knowledge sharing and storytelling between different departments and geographies. 

  • A strong brand identity for the intranet to enhance the message of ‘OneSysmex EMEA’. 

  • A lively and effective project and campaign strategy and approach that would engage, inspire and excite people about the new intranet 

The leadership at Sysmex EMEA felt that their intranet was no longer delivering. The advent of Microsoft Teams, Viva Engage, and other channels had shifted the focus away from it, making it a static repository instead of a dynamic resource. This was further backed up by the employee community when they were asked to add their voice to the discussion, confirming that people did not feel it was offering value. 

Here was an opportunity to revamp it into a dynamic, engaging space for employees to share information and connect across the organization, delivering on the overall mission unite departments and geographies and to truly operate as “OneSysmex EMEA”.  

2. THE ACTION

Get co-creative: 

How do you create a space that truly serves the employee community? You get the community involved in building it. We did this through a co-creative approach that involved everyone from the leadership team to the individuals who would be creating and adding content to the end pages. Starting with an organization-wide survey to capture the pain points, we then facilitated co-creation sessions with the cross-functional project team and project sponsors from HR, IT, and Marketing to define overall strategy and principles. From there these were translated into a wireframe and content strategy through further interactive sessions with the wider community. 

Provide the tools: 

Once SharePoint was selected as the intranet tool, our designers created attractive and intuitive page templates which were thoroughly tested to ensure useability. We also prepared comprehensive training materials and provided user support through live sessions with the content creators.  While our own content creators back at COSYN HQ prepared a full suite of targeted launch materials. From a "Leader Toolbox” for local engagement to a dedicated training site and ready-to-use, attention-grabbing campaign materials. 

Keep it agile:  

The intranet needed to be a dynamic place that had the possibility to evolve and remain relevant and useful to the end users. With this in mind, rather than releasing the intranet in a ‘big bang’, we took a more agile approach to go live with a “minimal lovable product” (MLP), featuring the most relevant or important pages. User feedback would then be used to make improvements as more pages were released.  

3. THE IMPACT

This new One Sysmex EMEA intranet has made a big difference in how people work together in the region. It's now easier for employees to find relevant information, share news, and have access to the most important tools. Here are some facts that show how this project has helped our client:

  • 32 affiliates are exchanging stories and information actively

  • 13.000 visits in the first 30

  • 0 outdated documents after corporate-wide cleanup

  • 1 personalized EMEA landing page for each employee

  • 100 site owners empowered to be better storytellers

  • 80 user-centric sites were created

  • 100% buy-in level from leadership to employees

Cross Functional

We made this a cross functional initiative, rather than an IT project, bringing in HR and Marketing to offer a wider view and get that vital buy in.

We gave people ownership of the project. We didn’t just ask them to feedback, we made them the architects. They saw their ideas reflected in the product.
